The Formula
Expected Attendees = (Local Invited x Local Accept Rate) + (Out-of-Town Invited x OOT Accept Rate)
Variables
- Local Accept Rate — Typically 80-90% for local guests
- OOT Accept Rate — Typically 55-70% for out-of-town guests
- Destination Rate — Typically 40-55% for destination weddings
Example
200 invites x 2 people = 400 invited. 240 local (85% = 204 attend) + 160 OOT (65% = 104 attend) = 308 expected guests.
Tips
- Send save-the-dates 6-8 months early, especially for out-of-town guests
- Budget for 5-10% more than your expected count (late additions, surprise +1s)
