How It Works

About 20% of guests wait until the last week to RSVP. Plan for 3-5% no-shows even among confirmed guests. Follow up personally with non-responders 2 weeks before the deadline.

The Formula

Predicted Attendance = Confirmed Yes + (Pending x 60% typical accept rate)
Actual Attendance = Predicted x 95% (5% no-show factor)

Variables

  • Response Rate — Percentage of invitees who have responded (yes or no)
  • Pending Accept Rate — Typically 55-65% of non-responders will attend
  • No-Show Rate — Typically 3-5% of confirmed guests do not attend

Example

200 invited, 85 yes, 30 no, 85 pending. Predicted: 85 + (85 x 60%) = 136 yes. After 5% no-show: ~129 actual attendees.

Tips

  • Follow up with a phone call (not text) 2 weeks before deadline
  • Give caterers your final count 1 week after the RSVP deadline
  • Order 5% extra meals for surprise guests and no-shows that become shows
  • Use an online RSVP tool to make responding easier
