How It Works
Plan for 12-15 sq ft per guest for seated dinners, 8 sq ft for ceremony seating, and 10 sq ft for cocktail-style events. Always use the "comfortable" number, not max capacity.
The Formula
Usable Space = Total Sq Ft - Dance Floor - Bar - DJ - Head Table
Max Guests = Usable Space / Sq Ft Per Guest
Max Guests = Usable Space / Sq Ft Per Guest
Variables
- Sq Ft/Guest — Ceremony: 8, Seated: 15, Cocktail: 10
- Dance Floor — Minimum 200 sq ft or 8% of room
Example
80x60 room (4,800 sq ft): After dance floor (384 sq ft), bar (100), DJ (80), head table (120) = 4,116 usable. At 15 sq ft/guest = 274 max, 233 comfortable.
Tips
- Visit the venue set up for an event similar to your guest count
- Ask about columns, pillars, or other obstructions that reduce usable space
- Cocktail-style events fit 50% more guests than seated dinners
- Plan the comfortable capacity, not the maximum, for guest comfort
